Incorporated in 2012, Maama Watali was established with the purpose of supporting, building awareness and educating Black and other Racialised/BIPOC Women and their families in Ottawa and the Canadian diaspora on all forms of gender-based violence, intimate partner violence and harassment.

The organisation is seeking a Part-Time, Senior Executive Assistant/Office Administrator to work alongside its senior staff, Board of Directors, and volunteers in a timely and professional manner to help streamline and ensure the smooth functioning of the organization. The person must show a commitment to supporting our continued growth in alignment with our vision and mission in community service.

Responsibilities will include:

• Acting as the main point of contact between the organisation and the public
• Liaising with all levels of government and doing follow-ups
• Coordinating daily calendars for senior staff
• Monitoring and evaluating the organisation’s Strategic Plans and subsidiary projects and programs to ensure continuous alignment with our vision and mission
• Researching and preparing appropriate correspondence
• Working in collaboration with Project Managers to meet priorities
• Reviewing, organisational practices and recommending new and improved approaches to ensure the ongoing effectiveness of the organisation and its programs.
• In collaboration with communications, monitoring and updating general membership and project-specific data bases.
• Creating regular reports
• In collaboration with Treasurer, conduct oversight and management of payroll, and annual project and company audits
• Coordinate HR recruitment, onboarding and intake of any complaints and refer to appropriate committee.
• Coordinate regular board meetings and maintain minutes

Background

The ideal person has demonstrated office management experience. A background in social services or community development is an asset.
Suitable for a mature individual, at the mid-point of their professional career or looking to re-enter the workforce
The candidate must have previous experience in similar roles. Must adhere to confidentiality requirements of the organisation and sensitive individual and group information. Must be able to pass a vulnerable sector screening test.

The individual must be able to:
• Work on their own initiative with excellent organisational skills and ability to prioritise
• Pay attention to detail
• Be able to work within a team and feminist environment.
• Be pro-active with the ability to meet time sensitive timelines.
• Be an effective communicator (phone, email and report writing, and in-person)
• Be able to problem solve with diplomacy
• Provide high-quality administrative, clerical or program assistance
• Be familiar with office management technologies.
